Combine Like Items

Items can be combined by Contract, Project, or Category on the Contract Details page under the field ‘Combine like items’.

Combined items will be set in the following areas that relate to bidding:

  • Schedule of Prices Report

  • Bid Entry

  • BidVAULT

  • Bid Abstracts

Comebine Like Items Criteria:

Items will only be combined if in the same ‘base bid’ or ‘alternate bid’ groupings.

In addition to what is noted as by, to be considered like, Project Items must have same 'Plan Qty (P)', 'Base/Alt', 'Contingency Price', 'Number', and 'Description'

Field Options:

  • No

    • This will not combine any items.

  • Yes, by Category, ignoring Project.

    • This will combine all similar category items for the contract. They will not be separated by Project.

    • Example: ‘Category A’ is listed under ‘Project 1’ and ‘Project 2’. All items that are in Category A that follow our criteria for like items will be combined.

  • Yes, by Contract, ignoring Project and Category.

    • This will combine all similar Contract items.

    • Example: ‘Item A’ is listed in ‘Project 1’ and ‘Category 1’, this item is also listed in ‘Project 2’ and ‘Category 2'. Even though the Project and the Category are not similar the items will be combined because they are part of the same contract.

  • Yes, by Project and Category.

    • This will combine all items that have the same project and category.

    • Assume that in the below example all items are the same, (Item A, AB, C, CD) except for the quantities.

      • Example: ‘Item A’ and ‘Item AB’ follow our combined like items criteria. These items are listed in ‘Project 1’ and ‘Category 1’, these items will be combined because they follow the criteria and are part of the same project and category.

      • ‘Item C’ and ‘Item CD’ also follow the combined like items criteria. These items are listed in ‘Project 2’ and ‘Category 2', these items will be combined because they follow the criteria and are part of the same project and category.

      • Even though ‘Item A’ and ‘Item C’ are the same item they will not be combined because we have chosen to combine like items only if the project and category are the same. For these items, they are not so they will not be combined.

  • Yes, by Project ignoring Category.

    • This will combine all similar project items.

    • Example: ‘Item A’ in ‘Category A’ and ‘Item B’ in ‘Category B’ are both listed in ‘Project 1’. These items will be combined. ‘Item C’ in ‘Category A' and ‘Item D’ in ‘Category B’ listed for ‘Project 2’ will be combined, but ‘Item A’ and ‘Item C’ would not be combined.

You can change the ‘combined by’ type during the bidding phase of the contract; however, if you have already posted the contract to bidVAULT, changing the ‘combined by’ in OneOffice will not change it in bidVAULT unless re-sync’d.
