Sending emails to OneOffice via Microsoft Outlook

If you use Microsoft Outlook 365 (either desktop or via the Outlook app), you can optionally add a Microsoft Add-In that will show in Outlook and allow the user to send one or multiple emails (including email attachments) to a designated contract in OneOffice.

Please note these distinctions for the capability to send multiple emails into OneOffice at once:

Microsoft Exchange Cloud - ability to send one email or multiple emails at once; can be used on both Outlook app and Outlook desktop

Microsoft Exchange On-Premise - ability to only send one email at a time; cannot be used on Outlook app, can only be used on Outlook desktop

To get started:

  1. Install the Outlook package in OneOffice, via Administration> Packages.

  2. Install the Outlook Add-In.

 

To use the functionality:

  1. In Outlook, click on the RTVision logo to either add a single email or multiple emails into OneOffice.

    1. In Desktop Outlook, hi-light an email then select the option to ‘Send to OneOffice’ or ‘Send Multiple to OneOffice’ found at the top right of your Outlook application. If ‘Send Multiple’ is selected, you may then hi-light additional emails to send at the same time.

    2. In Outlook mobile or Outlook web, select an email and select the three dots at the top right corner of the email. Select the icon to ‘Send to OneOffice’.

 

2. The first time you use this feature, will need to enter the URL of your site (ie https://demo.rtvision.com) and then enter your OneOffice login. Click on ‘Login’.

 

3. You will then be able to select the contract to move the one, or multiple files to.

4. On the Contract menu, select the section ‘Emails’. You will now see all emails sent to the contract folder and can search by any key words. Keywords from within the email body will also be searched.
