Create a New Employee User Account

To create a new employee user account, please follow the instructions below to add the user account, license, profile, and set up user role(s).

Setup the User Account:

  1. While in ‘Administration’ select ‘Records’.

  2. Click on Zone and select ‘Core’, when prompted, select ‘User’ for the table.

  3. Click on ‘Add’.

    1. The user’s email address will be used for notifications and as the user's login email address. The user’s first and last name are also required.

  4. Select/Enter user roles that will apply to the user account.

    1. Adding ‘OneOffice' and ‘OneOffice-legacy’ will provide full site access, while 'Admin’ will provide access to Administration options.

  5. Optionally: Set the default password for the account, or the new employee can click on ‘forgot password’ to set their password on the first login.

  6. Click ‘Save’ if only one user account is to be added. Otherwise, select ‘Save and Add Another’ if there are multiple accounts to add.

Add a License:

  1. While in ‘Administration’ select ‘Records’.

  2. Click on Zone and select ‘Core’, when prompted, select ‘License’ for the table.

  3. Click on ‘Add’.

  4. Select the application name and select the user. If there are multiple applications, a separate license record must be added for each application type.

    1. License options include Construction Management, Right-of-Way, and Capital Improvement Plan.

  5. If the user should have a read-only license, click on ‘Read-Only’.

  6. Click on ‘Save’.

Add a OneOffice Profile for the User Account:

Once the employee logs in, they can access the ‘Profile’ section under the ‘User’ icon and select the organization and organization address; OR, the administrator can set this up by following the below instructions:

  1. Click on Zone and select ‘OneOffice’; when prompted, enter/select ‘Profile’ for the table.

  2. Click on ‘Add’. Select the user name, then select the organization address and the organization name.

  3. The user will be recognized as an employee if set up to be part of the agency that purchased the application.
