Setup Automatic Shift Differentials

Set up shift differentials to automatically calculate based on the times an employee enters on their timesheet and/or the day of the week they enter time to on their timesheet. These can be combined so the employees have a shift differential for a time of day that only works on specified days of the week. To use time-of-day shift differentials, the start/stop method for time entries would need to be used. This is how the application will determine if the time entered qualifies for the differential or not.

An example of time of day shift differentials would be if employees get a special rate for working after 10 pm and before 6 am.

An example of day of the week shift differentials would be if the employees get a special rate for working on Sunday.

Update Department to Start/Stop Type of Time:

  1. While in administration select the ‘Departments’ tab.

  2. Select ‘Modify’ next to the department.

  3. Update the ‘Time Method’ to ‘Start/Stop per Entry (12-hour clock)' or ‘Start/Stop per Entry (24-hour clock)’.

  4. Select ‘Modify this Department’ to save.

Add Day of Week Shift Differential:

  1. While in ‘Administration’ select the ‘Shift Differential’ tab.

  2. The shift differentials tab defaults to ‘Day of Week’ shift differential.

  3. Select ‘Add Shift Differential’.

  4. Set the ‘Day of Week’, ‘Labor Code’ (The pay period summary report will show shift hours as this labor code.), and the Group/Teams the shift differential is applicable for.

  5. Select ‘Add this Shift Differential’.

Add Time of Day Shift Differential:

  1. While in ‘Administration’ select the ‘Shift Differential’ tab.

  2. Select the ‘Time of Day’ link to view the time of day shift differentials.

  3. Select ‘Add Shift Differential’.

    1. Any Hours that are worked between: If the differential is for time between 10p and 6a only, regardless of other hours worked by the employee, choose this option.

    2. All hours if majority of hours are between: If the differential allows for hours outside of the time range to qualify if the majority of the employee's hours are within the 10p - 6a range.

  4. Set the ‘Range Start Time’, ‘Range End Time’, ‘Day of Week’ if applicable, ‘Labor Code’ (The pay period summary report will show shift hours as this labor code.) and the Group/Teams the shift differential is applicable for.

  5. Select ‘Add this Shift Differential’.
