Add New Activity Codes
Activity Codes can be the same as the Accounting Codes if they are 1 to 1 in the Cost Accounting System. Multiple Activities Codes can also be attached to one Accounting Code.
Before continuing, verify that the appropriate Accounting Codes are available. Activity Codes are linked to Accounting Codes.
If Activities are the same as the Accounting Codes:
For example, if 001 Seal coating is both the Accounting Code, that goes in the Cost Account system and it should be listed as 001 Seal coating when the employee selects it from the timecard, all the Accounting codes can be copied over to the ‘Activity Codes’ tab.
While in ‘Administration’ select the ‘Accounting Codes’ tab.
Click ‘Copy ALL to Activity Codes’.
The Activity Codes will now appear in the ‘Activity’ Codes tab.
If Multiple Activity Codes are Attached to one Accounting code: (Manual Entry)
For example Cost Accounting Code, 001 Road Repairs has Seal Coating and Crack Sealing activities tied to it, Activity Codes will need to be manually entered.
While in ‘Administration’ select the ‘Activity Codes' tab.
Click ‘Add Activity Code’.
Name the Activity Code
This is what the employee will see for selection on their timesheet
Select if the Activity Code should be valid.
Invalid codes will not show for selection on the timesheet.
Click ‘Add this Activity Code’.
This Activity Code will now need to be linked to either a Maintenace Project, Engineering Template Activity, or a Maintenace Type (with or without road) for it to be usable.
To add an Activity to Accounts Receivable type of time if they are limited, the activity would need to be added to the Customer Type.
