 How do I log into bidVAULT?

You will use your ConneX account. If you do not have an account, you will need to first create an account on ConneX by either creating a new organization and account or by joining your organizations account.

 How are the bids secured?

Bids are secured through encryption and security features at various stages and levels:

  • AWS FedRAMP compliant data center

  • Data encryption at rest

  • Data encryption in transit

  • Bid data encryption through RSA cryptography (bid key). This level of encryption ensures that, even for those agencies (like AWS or RTVision) who may have access to the server or database, bid data can only be read by the agency or user(s) with the bid key until bids can be opened.

 How do I become a plan holder?

You must first be a plan holder in order to bid on a project. To become a plan holder, you can click on the project in bidVAULT to download plans. This will redirect you to the project owner’s project dashboard where the plans are located.

You will need to login with a ConneX account in order to download plans and be added to the plan holder list.

 Do I need a PIN to sign documents?

You no longer need a PIN ID to sign and approve documents.

 How much does it cost to bid?

You use bid credits to bid. Each bid is worth 1 credit and each credit costs $25 (or less if you purchase a number of bid credits at once). The project owner determines if they will pay on behalf of the bidders (in which case the cost to bid is '0' bid credits), or if the bidder will pay for the bid credit.

 Where do I purchase bid credits?

You can purchase bid credits from your organizations ConneX account (found under the ‘Organization tab’). You will be automatically directed to this page to purchase bid credits prior to bidding if you do not have any bid credits available. You can also track remaining and used bid credits from ConneX.

 Can I export bid items?

Bid items can be exported from the project owner’s OneOffice project dashboard (this is where plans are downloaded).

On this page, you will see the lists of items. Click on the ‘three dots’ in the upper right corner, then select ‘Exports’. You will then see ‘Export to csv’ button. Exporting to csv will allow you to save or open the file into Microsoft Excel or equivalent.

You may optionally upload item unit prices from bidVAULT as well.

 Can I access my past bids?

Yes, from the USER tab, click on ‘My bids’. You will then see a section of bids that have been opened and will be able to view your historical bids.

 What if I don’t submit or complete my bid before the bid closing date/time?

The project owner will be able to see all bids, whether complete or not, when bids are opened (unless you withdraw your bid). Any completed information will be shown and the missing information will be noted. Each agency has the discretion to determine if a bid is complete or not.

 Can I withdraw a bid?

Under the USER tab, click on ‘My Bids’. You can then view the bids you have in progress and can click on ‘Withdraw bid’ next to the bid you wish to withdraw.

 How do I know if my bid was completed?

You will receive an email with a notification that your bid was completed. You will also be able to see if your bid was complete from ‘My Bids’ dashboard, located under the USER tab.

 How do I work on a bid with other individuals in my organization?

If you want to work on the bid with other individuals in your company, or access it from other browsers/devices. You can still download your bid key at the the of the page when entering your bid data. You can save this bid key and this bid key will then be uploaded before your bid can be accessed.

 I received error 203 when verifying by Surety2000 bid bond

This error means that the bidder/vendor number identifying the contractor does not match what is shown/listed on the bid bond.
