Permit Application Recommendations
Permit application recommendations feature provides the ability to other users (internal employees or external agencies) to review and evaluate a permit application, and then provide feedback. This is outside of the approval process and may aid in determining in which permit applications are approved or approved with exceptions.
Setup use of Recommendations:
If a name other than ‘Recommendation’ is desired, in Administration click on the ‘Basic Names’ tab and relabel the Recommendation label.
In Administration, go to the ‘Recommendations’ tab (or the label is used in step 1) and add the individual users or groups who may need to provide a recommendation, including the Department Name.
These users can NOT have administrative rights to the software. Be sure to check their user roles!!
In Administration, go to the ‘Recommendation Options’ (or the label used in step 1) and add options that can be used for making a recommendation.
In Administration, click on ‘App Groups’ , click on ‘Manage’ next to the app group for which the permit type is setup, then click on ‘Modify’ next to the App Type to setup the recommendation process.
On step 2, ‘Additional', Enable recommendations to be used in this permit type. Then ‘Save & Exit’.
To Use Recommendations:
On the permit/application view page, in the lower management tabs, click on the red 'x' next to each Dept or group (setup in step 2 above) that will need to provide a recommendation.
Next, click on ‘click here to send email notifications’. This will send an email out to those users in the group/department to inform the user(s) that a recommendation is requested.
Users will receive an email notification and can click on a link in the email to login and go to the permit application to review the permit in question. The user can enter text and also select the recommendation (from recommendation options).
This recommendation is then shown on the permit application, with the recommendation, notes, user name, and date/time stamp of the recommendation data saved.
